Sharing Reports

You can share reports with people who don’t have FluidSurveys accounts.

  • Share all of your reports and the ability to filter and benchmark them behind a login.
  • Share a single report publicly or behind a login and configure filtering and benchmarking permissions.

Sharing All Your Reports from a Single URL

Sharing all of your reports gives people access to the reports section of your account. People you share reports with have the ability to create and apply filters and benchmarks to reports, but they can’t create new reports or see any other part of your FluidSurveys account.

To share all of your reports:

  1. Click the settings icon settings icon.
  2. Click Access Restrictions.
  3. Select Share reports page and enter a password for the report.
  4. Click Save.
  5. Click the reports icon reports icon.
  6. Copy the URL and give it and the password you set to people you want to share your reports with.

 

Sharing a Single Report by URL

When sharing a single report you can:

  • Apply or allow filtering or share custom filters
  • Apply or allow benchmarking
  • Password protect the report or create a public link
  • Embed your report directly into a website

To share a single report:

  1. Click the reports icon report icon.
  2. Select the report you want to export from the reports list.
  3. Click Share at the top of your report.
  4. Select + Add New Share from the Actions drop down.
  5. Name your share.
  6. (Optional) Set a password to restrict access the shared report. You need to give this password to anyone you’d like to share the report with.
  7. Configure Share Options, filters, and benchmarks.
  8. Click Done.
  9. Send your Share URL to anyone you want to share the report with.

Allowing Filtering and Applying Filters to Shared Reports

When you configure a shared report you have the option to:

  • Apply a filter to your report.
  • Allow people to create their own filters.
  • Allow people to use and apply a predetermined set of filters.

Apply a Filter

To apply a filter, select it from the Applied Filter drop down when you are configuring your shared report.

Applied filters limit what data is in the report. For example, if you create and apply a filter to only show data from users who self-identify as women, the shared report will not show data from respondents who self-identify as any other gender.

TIP! You can only apply a single filter to a shared report, but you can create highly-specific filters with multiple conditions.

Allow Filtering

To allow people to create and apply their own filters to the report, select the Allow Filtering option.

Allow Use of a Set of Filters

Instead of allowing people to create their own filters, you can create and share filters in reports.

To allow a predetermined set of filters:

  1. Make sure Allow Filtering is unchecked.
  2. In the Shared Filters drop down, select the filter(s) you want to share.
Benchmarking Shared Reports

Benchmarking allows you to compare data from one collector against other collectors.

When you configure a shared report you have the option to:

  • Allow people to create and apply their own benchmarks.
  • Allow people to use and apply a predetermined set of benchmarks.

Allow Benchmarking

To allow people apply their own benchmarks, select the Allow Benchmarking option.

Allow Use of a Set of Benchmarks

To allow a predetermined set of filters:

  1. Make sure Allow Benchmarking is unchecked.
  2. In the Shared Filters drop down, select the benchmarks(s) you want to share.
Allowing People to Export Shared Reports

The Allow exporting option allows people who access a shared report to export it as a .PDF, .XLS, or .DOC file.

Adding Passwords to Shared Reports

To add or edit a password:

  1. Select the report the share is for.
  2. Click Share at the top of the report.
  3. Select Edit from the Actions menu on the share in the share list.
  4. Change or add a Password.
  5. Click Done.

Editing or Deleting Shared Reports

Edit or delete a shared report, select either Edit or Delete from the Actions menu on the share in the share list.

Shortcut for Creating a Shared Report Per Collector

Select + Autocreate share/ collector from the Actions menu of the Report Sharing pop up to automatically create a shared report using an Applied Filter for each collector of your survey.

These reports will not allow filtering, exporting, and benchmarking by default. Change these presets by editing each share.
